We will start by explaining the meaning of the team in SciNote and the meaning of the organization management (available to Premium users). You will learn how to invite your lab members , colleagues, or other associates to collaborate and share data.

SciNote can be used individually as well, so even if you are a single user, you can still benefit from the following information.

The meaning of a team in SciNote

When you created your SciNote account, you chose the name of your team. The team is a group of people who are collaborating within SciNote. The name can be the name of your lab, company, department etc.

You can invite your colleagues, your students and even external collaborators to your team and assign them different roles and permissions (we will talk more about this later on). Once they accept the invitation to your team and become your team members, you can share protocols, your own customized inventories: e.g. reagents, samples, lab instruments, etc.

How can you invite people to join your team?

To invite people to the team, go to Settings in the lower left part of the dashboard, click Teams in the left navigation menu, and open the team by clicking on its name. Then click the green +Add team members button on the right.

A new window appears, where you type in one or multiple emails of people you want to invite. To add an email, press enter key on your keyboard, then click green Invite Users button and assign them a role.

There are three different user roles at the team level: Administrator, Normal user and Guest.

Administrator can manage the team members and see all projects. If you are the team administrator, you can easily change team members’ roles or remove them from the team.

Normal user can create, edit, and archive team’s data, such as inventories, protocols, reports and projects he/she has the access to.

Guest is only allowed to view the inventories, protocols and reports and projects he/she has the access to.

The meaning of an organization in SciNote

SciNote Premium account adds another possibility to team management: organization management – it means that multiple teams can be united within one organization.

Multiple teams represent, for example, different departments, business units or groups of people who share the same customized inventories (samples, reagents, lab equipment, etc.) and work on their shared projects.

Organization administrators (as an additional SciNote Premium user role) can invite new members, reset their passwords or lock their accounts. Resetting the passwords on the level of the entire organization is the added Premium functionality here as well.

Since SciNote Premium offers the possibility to have more than one team (free account allows only one team), organization admins are the only ones allowed to create new teams.

If you have a SciNote Premium account, here is how you can manage the organization:

Click Settings in the left lower corner of the main dashboard and open Members tab. All organization members will be displayed in an alphabetic order.

If you want to invite new people to the organization, click green +Invite members button on the right and write one or multiple emails, confirm each email with enter key. When you are finished click green Invite Users button.

Organization members can also become organization administrators. In this case, an existing organization admin needs to upgrade a role of a selected member by clicking the cog wheel icon under the Actions column and selecting Organization administrator role from the drop-down list. You will know that the person has become an organization admin if there is a checkmark in front of the role. In addition, you can reset person’s password or deactivate their account by locking it.

To create a new team, open Teams tab within the Settings profile and then click green +New Team button. After that, type in the Team name and Description and confirm it with green Create button.

If you have multiple teams, you can switch between dashboards of different teams to display different projects belonging to a specific team.

To switch between your teams click on the down arrow in the Team switch field and select the desired team from a drop-down list.


  1. Log into your SciNote account or shared SciNote Premium site that has a unique URL link (i.e. companyname.scinote.net).
  2. Invite people to your team.
  3. Assign user roles to invited people.  
  4. Bonus (Premium accounts): If you are an Organization administrator, assign another additional Organization administrator.
