Getting your team on board

Assigning user roles and permissions

Have full control over who you invite to collaborate. Every individual needs to be granted access. You receive a unique username and password which you have to use for identification every time you try to access your data.

If you have distinct groups of people, you can create teams. You can further divide your team, and approve them access only to certain parts of the ELN. This functionality depends on your SciNote plan.

Set who can see data within individual projects. Only selected people get to work on chosen projects. This helps everyone keep their focus.

External collaborators can be invited to view selected records. Layers of roles and granulation of permissions offer a quick solution for you to invite external collaborators to view the relevant content.

If someone leaves your organization, you can restrict their access to SciNote. User management in SciNote also allows you to remove selected people from projects, and prevent them from signing in your SciNote again.

Collaborating and communicating in SciNote

Save time by using # or @ to tag and notify team members or link the relevant data

Use # to link the information you want to mention. By using the # in SciNote, you can link your sample data, or other relevant data in your comments.

Tag and notify team members. Use the @ to tag the relevant team members of your progress, ask questions, delegate work etc.

Link existing data – add hyperlinks. You can save time by simply including a link to a piece of relevant information saved outside of SciNote.

Cross-team collaboration – working fast and efficient

Delegate work by assigning tasks. If you want, you can assign members to tasks which will then show in their Overview tab and in their calendar.

Prepare a presentation for your meetings in a few seconds. The report function in SciNote orders data into a neat form that you can present to your colleagues. You can decide to give them a brief overview of what you did or present every detail of the work done.

Reviewing and approval processes made easy. You can sign laboratory records by using the SciNote’s e-signature feature.

Get the most out of teamwork. Ask questions and discuss important ideas right on the spot by adding an @ symbol to your colleague’s name in the comment.

Keep your team in sync when working from different locations. Select the timezone you are in, and SciNote will automatically translate all the timestamps accordingly.

Collaboration with partners on grants 

Planning the grant’s proposal. With SciNote team members having access to projects, there is no need for long planning meetings as the grant participants can exchange ideas and suggestions for the project’s proposal directly within SciNotes’ work environment.

Structuring the work packages. The entire grant proposal, as well as suggestions for work packages and their deliverables, can be structured with SciNote hierarchical levels of Projects, Experiments and Tasks. Specific documents intended as affixes to the grant submission can be stored in the SciNote inventory library and linked to the appropriate work packages.

Staying on top of deliverables & timelines . A work package in a grant is represented as an Experiment within SciNote – each Task in the work package represents a deliverable in the grant. Since SciNote Tasks have a determined due-dates and assigned responsible Team (Team-members), it is easy to keep track of timelines visually through activity overview or Task statuses.

Reporting. Automated reports make reporting on a project’s progress and deliverables done within minutes. All work recorded within SciNote can be pulled into a structured report that can then be shaped into a form demanded by the grant.

Collaboration with external partners and customers

Recording customer orders. Customer orders and results/outputs can be structured in SciNote using the hierarchy levels of Project, Experiment and Task. Store order submissions as Protocols in the protocol repository or as attached documents to the order submission.

Share selected internal records. External collaborators can be invited to view or contribute to selected records. Tailor their precise access and editing permissions with granulated SciNote user roles.

Coordinate work. SciNote Team and Project membership together with Task assignment help keep clear boundaries and responsibility for deliverables/outputs.

Keeping track of orders and progress on deliverables. Each SciNote Project or Experiment representing a customer can comprise of Tasks as customer orders with results as deliverables. Keep track of due-dates for deliverables with Task statuses and visual progress bars.

Structured reporting on external projects and customer orders. Create a structured report on an order or an external collaborative Project with SciNote Reports. Choose the content you wish to include in the report and share it with a partner or customer in formats that are open or closed for editing.
